Join Our Team

We are seeking an Administrative Specialist to join our Head Quarters' team, reporting directly to the Head of ESG. This role will combine seamless process management, secretarial tasks, and preparation and maintenance of essential documents.

Main Responsibilities:
  • Manage regular compliance tasks, including those indicated by the Legal team (e.g., renewal of licenses).
  • Oversee small purchases and related accounting and administrative tasks, including petty cash management.
  • Issue purchase requests and manage documentation for new supplier qualification and coding of purchased items.
  • Coordinate the Executive Team's agenda, including meeting organization, travel arrangements, reservations, and visa requests.
  • Prepare monthly reports on CEO and Executive Team travel expenses.
  • Assist with travel management, health insurance, vaccines, and practices for staff involved in international business trips.
  • Edit draft documents and presentations, and ideally perform desktop editing of basic presentations.
  • Manage the car fleet, ensuring compliance with policies, following up on vehicle purchases/leasing, insurance requirements, and scheduling regular maintenance.
Requirements:
  • Any degree in office administration or a related field is highly valued.
  • Previous experience with common office equipment or ability to learn quickly.
  • Comfort multitasking and handling multiple requests from various departments and individuals.
  • Demonstrated self-organization skills, attention to detail, and high motivation.
  • Ability to work efficiently in a dynamic environment, strong communication skills, and self-motivation when managing communication channels.
  • Familiarity with Microsoft Office Suite, including Word, PowerPoint, and Excel.
  • Fluency in English is highly valued; French, Spanish, or Portuguese also relevant.
