Position Overview:

The Arizona Department of Corrections, Rehabilitation & Reentry (ADCRR) is in search of a proactive individual with exceptional problem-solving abilities and customer service expertise. This role is essential in supporting the warden's office by delivering comprehensive administrative support and executing secretarial duties of a confidential nature.

Key Responsibilities:

  • Drafts and manages correspondence, utilizing computer systems to fulfill job requirements.
  • Assembles and prepares weekly and monthly reports.
  • May draft responses to routine correspondence.
  • Updates and maintains department policy manuals.
  • Participates in meetings and records minutes.
  • Completes special projects as assigned.
  • Creates, organizes, and maintains confidential and administrative files.
  • Logs, tracks, copies, and forwards correspondence and documentation.
  • Handles all incoming and outgoing staff/department mail.
  • Answers, screens, and appropriately refers phone calls.
  • Coordinates special events, meetings, and fundraising activities.
  • Serves as a backup timekeeper.
  • May require driving for state business.
  • Performs additional duties as assigned.

Knowledge, Skills & Abilities:

Knowledge of:

  • Arizona Department of Administration (ADOA) Personnel Rules and ADCRR policies and procedures.
  • Business English, including grammar, formatting, and composition.
  • Computer applications and various software programs (Microsoft Office and Google Suite).
  • Techniques for screening incoming calls and visitors.

Skills in:

  • Problem-solving and effective time management.
  • Establishing and maintaining professional relationships.
  • Written and verbal communication.
  • Managing multiple tasks efficiently.
  • Interacting with the public and staff in person and via telephone.
  • Working independently with minimal supervision.

Ability to:

  • Provide effective support to employees.
  • Investigate and resolve issues promptly.
  • Plan and coordinate activities while establishing priorities.
  • Develop efficient operating procedures.
  • Work effectively under tight deadlines.
  • Maintain confidentiality at all times.
  • Adapt to a correctional environment.

Preferred Qualifications:

Two (2) years of professional office experience with proficiency in Microsoft Office and Google Suite.

Pre-Employment Requirements:

Employment is contingent upon passing a background investigation and drug screening. A valid state-issued driver's license is required for those driving on state business, and employees must maintain acceptable driving records.

To ensure a safe workplace, all employees must undergo a Tuberculosis (TB) test during orientation and annually thereafter.

All newly hired State employees are subject to the Electronic Employment Eligibility Verification Program (E-Verify).
