Job Description

You'll be playing a crucial role in ensuring the efficient and smooth day-to-day administrative support for the Business Development and Legal Functions, both based in HQ and European subsidiaries. Your responsibilities will include:

  • Handling sensitive client and partner communications with discretion and professionalism
  • Preparing reports and presentations, ordering office supplies, and collaborating on projects to drive business growth
  • Organizing business trips, managing time and attendance, and processing expense reports with accuracy and attention to detail
  • Writing tender documentation under the guidance of proposal managers, primarily in English, to showcase our company's expertise
  • Managing general tasks related to the commercial register and Ultimate Beneficial Owner, ensuring compliance and accuracy
  • Regularly updating customer communication systems, Legal Tool, and Intranet to maintain a seamless customer experience
  • Supporting the onboarding process of new employees to ensure a smooth transition and effective integration
Qualifications
  • 5 years' experience as an administrative assistant or project assistant, preferably in an international matrix organization (industrial environment)
  • Fluent in English and Italian, with excellent communication and interpersonal skills
  • Good knowledge of MS Office and tendering procedures, with experience in organizing meetings and events, and travel/expense management
  • Proactivity, impeccable manners, and effective communication skills are essential for success in this role
