The Administrative Coordinator will play a pivotal role in ensuring the efficient operation of our office, contributing to the success of our Expansion Project (Logistica Giuliana). This position requires a unique blend of administrative skills and proactive problem-solving abilities.
Key Responsibilities- Manage daily office activities, including welcoming guests, organizing meeting rooms, and coordinating travel arrangements.
- Assist with agenda management, scheduling meetings, appointments, and events.
- Draft administrative documentation, including official presentations, communications, and documents.
- Support the management of office budgets and expenses, tracking costs, and identifying opportunities for savings.
- Assist with relocation activities, liaising with external suppliers as needed.
- Draft policies, procedures, and internal reporting to be implemented in the company.
- Manage office supplies inventory, placing orders, and collecting tracking invoicing as needed.
- Provide administrative support, including managing correspondence and organizing documents between departments.
- Comply with safety and security rules and regulations, leading by example.
- Support the department and business unit as required.
- Follow corporate authority matrix and contract policies compliance guidelines.
- Actively report improvement opportunities to direct report.
- English level B2 (German is a plus).
- Previous experience in an administrative or office support role is a plus.
- Proficiency in Microsoft Office Suite and basic office management software.
- Strong organizational skills and attention to detail.
- Excellent communication and interpersonal abilities.
- Ability to multitask and prioritize tasks effectively.
- Willingness to learn and take on new responsibilities.
- Ability to maintain confidentiality and exercise discretion.
- The ideal candidate would have a valid EU working permit and be willing to relocate to Trieste on short notice.
