About the Role

The Administrative Coordinator will play a pivotal role in ensuring the efficient operation of our office, contributing to the success of our Expansion Project (Logistica Giuliana). This position requires a unique blend of administrative skills and proactive problem-solving abilities.

Key Responsibilities
  • Manage daily office activities, including welcoming guests, organizing meeting rooms, and coordinating travel arrangements.
  • Assist with agenda management, scheduling meetings, appointments, and events.
  • Draft administrative documentation, including official presentations, communications, and documents.
  • Support the management of office budgets and expenses, tracking costs, and identifying opportunities for savings.
  • Assist with relocation activities, liaising with external suppliers as needed.
  • Draft policies, procedures, and internal reporting to be implemented in the company.
  • Manage office supplies inventory, placing orders, and collecting tracking invoicing as needed.
  • Provide administrative support, including managing correspondence and organizing documents between departments.
  • Comply with safety and security rules and regulations, leading by example.
  • Support the department and business unit as required.
  • Follow corporate authority matrix and contract policies compliance guidelines.
  • Actively report improvement opportunities to direct report.
Requirements
  • English level B2 (German is a plus).
  • Previous experience in an administrative or office support role is a plus.
  • Proficiency in Microsoft Office Suite and basic office management software.
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal abilities.
  • Ability to multitask and prioritize tasks effectively.
  • Willingness to learn and take on new responsibilities.
  • Ability to maintain confidentiality and exercise discretion.
  • The ideal candidate would have a valid EU working permit and be willing to relocate to Trieste on short notice.
