Position Overview

The role of the Administrative Assistant in Rome is pivotal in providing comprehensive organizational and administrative support to faculty, students, and administrators. This position serves as a shared resource within the office and is accountable to the Executive Director of Operations and Information Technology for Europe.

Key Responsibilities

Administrative and Operational Duties:

  • Deliver reception services, acting as the initial point of contact for visitors and callers, ensuring a welcoming and professional atmosphere.
  • Collaborate closely with security personnel to maintain a safe environment.
  • Assist in establishing and managing filing systems and records, ensuring compliance with data protection regulations.
  • Facilitate effective communication both internally and externally, addressing information requests and managing official announcements.
  • Oversee print services and ensure the availability of necessary supplies.
  • Support document management processes, including drafting and destruction in accordance with established protocols.
  • Manage phone lines and general correspondence for the office.
  • Coordinate calendars for administrators as needed.

Library and Supply Management:

  • Handle library operations, including the maintenance of collections and management of check-in/check-out processes.
  • Oversee inventory and distribution of office and residence supplies.

Social Media and Event Coordination:

  • Assist in updating the university's online presence and social media platforms.
  • Support content creation for various events, including photography and videography.
  • Manage event participation logistics and assist in payment processing.
  • Accompany students during off-site activities as required.

Academic and Faculty Support:

  • Assist in the development of academic schedules and classroom assignments.
  • Prepare classrooms and assist with class materials and exam supervision.
  • Provide initial technical support for classroom technology.

Residence and Student Life Support:

  • Support student orientation and assist with check-in processes.
  • Conduct health and safety inspections in residential areas as needed.
  • Participate in emergency response protocols as part of a support team.

Supervision:

  • Oversee student workers and provide guidance as necessary.

Required Competencies:

  • Exceptional customer service and intercultural communication skills.
  • Ability to build and maintain effective relationships in a diverse environment.
