Job Summary

Are you a proactive and organized individual with a passion for supporting executives and maintaining a productive and efficient workplace? We are seeking an energetic and detail-oriented Executive Assistant & Office Manager to join our team in Milan.

As the Executive Assistant & Office Manager, you will play a pivotal role supporting local executives and management team and ensuring the smooth day-to-day operations of our office and contributing to our overall success.

Your Key Responsibilities

Provide comprehensive administrative support to executives and management team members (e.g. assisting with complex travel arrangements, hotel booking, visa processes, manage calendar and daily agenda, expense reports, correspondence etc.) Plan, collect and prepare materials for scheduled meetings, business reviews etc. Serve as the first point of contact for visitors and partners, maintaining a professional and welcoming atmosphere Assist in organizing company events, meetings, and team-building activities Contribute to the development and implementation of office policies and procedures to improve efficiency and employee satisfaction Manage office and kitchen supplies and ensuring everything is well-stocked and in working order Manage contacts with third parties to make sure the office run smoothly (cleaning company, florist, gardener, electricians etc.) Manage contacts with the external Health & Safety provider (book periodical visits for employees, organize safety training etc., act as local point of contact for safety

Your Profile

Bachelor's degree in Business Administration, Management, or related field Strong organizational and multitasking abilities in a dynamic environment Attention to detail and a commitment to high-quality work Discretion in handling sensitive information Proactive approach with good prioritization skills Fluent in both written and spoken Italian and English Proficient in Microsoft Office tools and collaboration platforms Proven experience in office management or administration
