Job Summary

We are seeking a highly skilled Administrative Contract Specialist with French language skills to join our dynamic team in Bratislava, Slovakia. As an Administrative Contract Specialist, you will play a key role in ensuring that our customers receive a first-class service experience.

Key Responsibilities

  • Manage and process orders, ensuring timely and accurate delivery.
  • Review and manage contracts data in our ERP system, ensuring compliance with company policies.
  • Process data for new orders and order modifications, maintaining accurate records.
  • Create billing invoices and credit notes, ensuring accurate financial reporting.
  • Prepare and send indexation renewal letters to customers, maintaining effective communication.
  • Request guarantees for placed orders, ensuring timely payment.
  • Complete commercial correspondence and support project managers with order-related matters.
  • Communicate verbally and in writing in French and English, providing excellent customer service.
  • Be the first point of contact for contractual questions from our customers, providing accurate and timely responses.
  • Check contracts and approvals in our CRM tool, ensuring compliance with company policies.
  • Support and manage dispute resolution, maintaining a positive customer experience.
  • Maintain the master data of our customers, ensuring accurate and up-to-date information.
  • Communicate proactively with clients, providing timely and effective solutions.
  • Run calculations for customer offers, ensuring accurate financial reporting.

Requirements

  • Fluency in French and English, with excellent verbal and written communication skills.
  • Ability to effectively communicate with internal and external customers, providing excellent customer service.
  • Excellent proficiency with MS Office suite, with a focus on Excel.
  • Effective time management, meeting deadlines and prioritizing tasks.
  • A positive attitude, with a focus on providing excellent customer service.
  • Ability to work independently, with a focus on completing assignments to completion.
  • A team player, with a focus on working collaboratively with colleagues.
  • Minimum experience working in an administrative role, preferably within finance or legal.

Preferred Qualifications

  • Previous experience in finance, customer service, order to cash, quote to cash, accounts receivable, billings, disputes, collections, contract administration, or legal-related work.
  • High proficiency with MS Excel, with a focus on data analysis and financial reporting.
