Job Summary
RINA is seeking a highly skilled Administrative Project Coordinator to join its Marine Consulting Division in Genoa, Italy. As a key member of the team, you will be responsible for managing administrative tasks, ensuring efficient and accurate processes, and providing exceptional customer support.
Key Responsibilities
- Offer Management: Collaborate with business development teams to understand and manage customer offers and pricing. Assist in the development and customization of offers based on customer needs.
- Contract Management: Handle the drafting, execution, and monitoring of customer contracts to ensure compliance with legal and regulatory requirements.
- Invoicing and Billing: Oversee the generation and issuance of invoices to customers, validating details such as pricing, discounts, and terms.
- Timesheet Management: Ensure accurate and timely timesheets for each project, collaborating with technical teams to resolve discrepancies or missing information.
- Customer Interaction: Provide high-level support for complex customer inquiries and issues, acting as an escalation point for challenging situations.
- Process Improvement: Identify opportunities for process improvement within customer service and administrative functions, implementing changes to enhance efficiency and effectiveness.
- Customer Satisfaction Enhancement: Implement strategies to enhance customer satisfaction and loyalty, gathering feedback and recommending improvements to products or services.
- Compliance and Risk Management: Ensure compliance with relevant laws, regulations, and company policies, identifying and mitigating risks associated with customer contracts and billing processes.
- Training and Support: Provide guidance and support to customers on using online portals or self-service tools for account management, assisting in training new employees on customer service and administrative processes.
Requirements
- Education: Bachelor's Degree in Business Administration or Finance Management
- Qualifications: Experience in customer service or business support, preferably in a senior or advisory capacity. Knowledge of business support processes, best practices, and business units standards.
- Skills: Excellent written and verbal communication skills in both English and Italian, with a comprehensive understanding of how to deliver exceptional business support.
