CSL Seqirus is seeking a highly skilled Business Operations Specialist to join our team in Siena. As a key member of our operations team, you will be responsible for managing tender activities, customer service, and order fulfillment.



Tender Management Activities


  • \t
  • Monitor and screen e-procurement web platforms for potential tenders.
    \t
  • Submit pre-qualification information to tender authorities and maintain up-to-date tender authority platforms.
    \t
  • Select eligible tenders, download documentation, and archive in the shared folder.
    \t
  • Work with the team to prepare participation in tenders and offer submissions.
    \t
  • Maintain tender status in Datagon and ensure commercial contracts flow into SAP.
    \t
  • Liaise with tender authorities for submission modes and timing, and track submission deadlines.
    \t
  • Manage approval workflow for price to bid before submission of the offer.
    \t
  • Liaise with finance, medical affairs, regulatory, pharmacovigilance, marketing, and other functions to obtain necessary information for participation.
    \t
  • Liaise with the bank for release of performance bonds in advance of the tender deadline and track expiration.
    \t
  • Ensure all necessary payments and mandatory prerequisites are satisfied for call for bids participation.
    \t
  • Submit all tenders on time into e-procurement platforms with the Business Operations Manager.
    \t
  • Provide documentation required post-awarding for contract finalization to tender authorities.
    \t
  • Maintain accurate records and files of all tender-related data in the designed shared folder.
    \t
  • Identify and report new tender requirements or potential risks of exclusion or ability to participate in tender to the Business Operations Manager.
    \t
  • Promote innovation in tender processes and maintain a positive approach to changes and improvements.


Customer Service and Order To Cash (OTC) Activities


  • \t
  • Monitor, supervise, and manage inbox messages for all shared mailboxes and customer touchpoints.
    \t
  • Support the Bus. Ops Team with orders secondary review and check orders for accuracy with product, pricing, and shipping details.
    \t
  • Answer customer enquiries, provide information on orders, deliveries, and invoices.
    \t
  • Manage sales e-invoices submission in Sfera and analyze potential invoice rejections from public customers.
    \t
  • Work with the Business Operations Manager to finalize seasonal credit limit analysis for all customers prior to the season.
    \t
  • Provide regular feedback to the Business Operations Manager regarding sales order issues or customer concerns.
    \t
  • Handle temperature excursion requests and Product Technical Complaints (PTCs).
    \t
  • Partner with and provide feedback to KAMs on tender, orders, or customer requests.
    \t
  • Prepare and send commercial reports on orders entrance and deliveries status to tender authorities and regional stakeholders according to contract requirements.
    \t
  • Support the Team for the proper maintenance of all the documents archives (on paper and electronic) required by law.


Other Activities


  • \t
  • Maintain and support Business Operation team in maintaining all the SOPs, WKIs which are relevant both for Tender and Operations activities.
    \t
  • Support the Team in tracking the different status of the batches and monitor supply from our Manufacturing Sites to in-country 3PL warehouses.
    \t
  • Support in MIF submission activities and batches release tracking.
    \t
  • Collaborate with the Business Operations Team in partnering with Global functions (e.g. SupplyChainQA, Finance, IT, HR, etc) and in managing the required activities.
    \t
  • Raise Purchase Requisition (PRs) in SAP for the services needed by the local Business Operations team.
    \t
  • Provide support and backup to the Team in managing the required AP activities.
    \t
  • Work in collaboration with the Business Operations Manager to identify and evaluate innovative and useful solutions to support the business and improve Tender Authorities and Customers satisfaction.
    \t
  • Support Business Operations Manager in executing projects and in providing useful inputs and insights to improve work streams and Customer Satisfaction.


Requirements


  • \t
  • Degree in Economics, Engineering, Life Sciences, or Law.
    \t
  • Good understanding of Italy healthcare system, Public Procurement legislation, and regulatory requirements.
    \t
  • English language intermediate level (at least) – Fluent in speaking.
    \t
  • Builds bridges and helps teams develop collaboration.
    \t
  • Good ability to work with Microsoft Office pack, Power BI, web sites, and platforms (e.g. e-procurement, e-orders, etc) and management systems (e.g ERP).
    \t
  • A minimum experience in Biotech Companies or Pharmaceutical Industry is a plus.
